Examiner: Conduct an Offline CBT

Run a Computer-Based Test offline with HisGrace Examiner — upload and activate an exam module, switch into Local Mode, run the exam from the student side, then review and export results to Excel.

HisGrace Examiner is the desktop client students use to actually take a Computer-Based Test. This guide walks through the full offline (Local Mode) workflow — uploading the exam module you built with Exam Maker, configuring the client to boot straight into the student login, running the exam, and finally reviewing and exporting results as an Excel spreadsheet.

Phase 1: Application Launch & Admin Login

Open the application

Locate the HisGrace Examiner shortcut on the desktop and open it.

Reach the admin login

The application launches straight to the Admin Login screen.

Sign in as admin

Enter the default admin username and password (provided on the software's download page) and click Login to open the Exam Manager dashboard.

Phase 2: Uploading & Activating an Exam Module

Exam modules are created in HisGrace Exam Maker. If you haven't built one yet, see Exam Maker: Build & Publish a CBT first.

Open Manage Exams

On the left-hand navigation menu, click Manage Exams.

Upload the exam module

Click the Upload Exam Module button at the top right of the screen. A file explorer window opens — locate and select the exam module file (created in HisGrace Exam Maker) and click Open.

Activate the module

A prompt asks: "Do you want to activate [Exam Name] as the active Examination?" Click Yes. The module now appears under the Active Examination dropdown.

Verify on the dashboard

Click Dashboard on the left menu. The counters (Examinees, Total Questions, etc.) update to reflect the newly uploaded module.

Phase 3: Configuring Local Mode Settings

Open Settings

On the left-hand navigation menu, click Settings.

Choose Local Mode

Under the Mode section, select Local Mode so the exam runs offline without needing a network or server.

Set startup to the examinee login page

Under Startup, select the Examinee Login Page radio button. The app will then boot straight to the student login screen every time it opens.

(Optional) Customise the background

Under Exam Mode Background, delete or change the background image displayed on the student login screen.

Save and confirm

Click Save Settings at the bottom, then click OK on the confirmation popup.

Log out to switch into exam mode

Click Log Out at the top right. Thanks to the new settings, the app immediately switches to the Examinee Login Page.

Phase 4: Taking the Examination (Examinee Mode)

Examinee log in

On the Examinee Login Page, the student enters their username and password and clicks Login.

Review the welcome screen

The Welcome screen shows the examinee's personal details, the subjects to take, and the examination instructions.

Start the exam

Click the green Start Exam button at the bottom to begin.

Navigate the exam

  • Select answers using the provided radio buttons, checkboxes, or text fields.
  • Use the Previous and Next buttons at the bottom to move between questions.
  • Jump straight to a specific question using the numbered grid panel on the right.
  • Switch between subjects using the subject tabs at the top left (e.g. English, General Paper, Mathematics).

Submit the exam

Once all questions are answered, click Submit at the top right. A confirmation prompt asks "Are you sure you want to submit?" — click Yes.

View the result

The Exam Ended screen loads with a detailed performance analysis: total score, attempted questions, correct/wrong answers, and a percentage breakdown.

Click Show Answers at the bottom of the result screen to review the correct answers and the marks awarded for each question.

Log out for the next student

Click Log Out to return to the Examinee Login Page so the next student can begin.

Phase 5: Admin Review & Exporting Results

Switch back to exam mode

On the Examinee Login Page, click the Switch to Exam Mode power icon at the top of the screen to return to the Admin Login page.

Log in as admin

Sign in using the admin credentials. The Admin Dashboard immediately reflects the number of Completed Exams.

Open the examinees list

Click Manage Exams on the left menu. Right-click the active examination and choose Examinees from the context menu to see every student attached to the module.

Right-click a specific examinee's row and select Exam Details to view their individual result breakdown.

Export the grades

Click Export Results at the bottom right. In the popup, select Microsoft Excel from the dropdown, choose Group By Examinees, and click Export.

Save and open in Excel

Choose a save destination, name the file, and click Save. When prompted, click Yes to launch Microsoft Excel and view the formatted results spreadsheet.
