HisGrace Gestio RPS is a desktop report-card generator that takes you from raw student data all the way to finished, printable result sheets. This guide covers the full workflow — initial setup, registering staff, classes and students, designing report templates, entering and moderating scores, and producing individual reports and broadsheets. 1. Initial Setup & Configuration
Install & log in
After installing the software, log in using the default username and password provided on the download page. 0:19
Add your school details & logo
On your first login, add your school's details and upload the primary school logo. A secondary logo can also be added, but it is optional. 0:29
Create your academic session
Navigate to Registration > Session on the left menu. Create a new session (e.g. 2022/2023) and click Add. You'll be prompted to automatically activate it as your current session. 0:43
Configure the term
Go to Registration > Term to configure and save the settings for your current term. 1:10
2. Staff & Class Registration
Add teachers
In the teacher section, click Add Teacher at the top right. Enter the teacher's name, upload a signature, and complete any other required fields. 2:00
Add classes
Open class registration and click Add New Class. Provide the class name, designate the promoting class, and assign a class teacher. You can leave the result template set to Auto for now and update it later. 2:36
3. Student Registration
Register a single student
Navigate to Students Data and click New Student at the top. Fill in the student's details and click Register. 3:15
For a whole class, the Excel import is far faster than registering students one by one.
4. Customising Result Templates
Open the Template Editor
Open the Template Editor from the left menu to customise the design and layout of your report cards. 5:31
Layout & calculations
Configure the sections for school details, student details, and academic performance. You can adjust the number of Continuous Assessment (CA) columns and define maximum exam scores — for example, setting the exam maximum to 40. 6:30
Grading & comments
Modify the template's theme colours, grading scales, skills attributes, and the automated comment structures tied to score ranges. 10:03
Prefer teachers to write their own remarks? Tick Use manual commenting instead of automated comments. 10:53
Visual assets
Add school stamps, toggle heading backgrounds, and adjust signature visibility. 11:30
Assign the template to a class
Once you've saved your custom template, go to Registration > Class, select the class, click Edit Class, and change the result template dropdown to your new design. 12:41
A custom template only takes effect on a class once you assign it in the class's settings.
5. Subject Management
Add subjects
Go to Class Data > Subjects. Make sure the correct class is selected, click Add Subject, enter the subject name, and assign a subject teacher. 13:10
Group related subjects
You can group related subjects together. Ticking the designated box merges the scores of each subject in the group into one cumulative score. 13:36
Import subjects from another class
Use the Import Subject feature to quickly pull subject lists from other classes or past sessions. 14:21
6. Score Entry & Moderation
Enter scores manually
Select the correct class, subject, and term at the top, then type scores directly into the grid. 14:28
The system automatically rejects any score that exceeds the maximum limit defined in your template.
Moderate scores
Need a uniform adjustment — say, 2 extra CA marks for everyone? Use the Moderate Scores tool to apply equal points across the entire class for a specific assessment. 16:35
7. Attendance, Skills & Remarks
- Attendance — enter the total number of days each student was absent. 17:09
- Behavioural skills — rate skills development and behavioural attributes on a scale of 1 to 5. 17:16
- Teacher comments — if manual commenting is enabled on the class template, enter personalised remarks for each student here. 17:37
8. Generating Reports & Broadsheets
Individual result sheets
Navigate to Report > Student Result Sheet. Select the class, term, and student, then click Preview to view or export the report card as a PDF. 18:10
For third-term reports, you can untick Brought Forward to exclude the cumulative scores from the first and second terms. 19:14
Class broadsheets
Go to Broadsheet by Class View to see a master sheet of all student scores in a class, which can also be exported to PDF. 19:22
Subject insights
Use Subject Champions to see the top-performing students in each subject, 20:22 or open Broadsheet by Subject View for a detailed subject-level breakdown. 20:31
9. Administration & Backups
Update school details
Open the Settings menu to modify overarching school details, including the School Head's name and official signature. 20:40
Back up your database
Click Log Out, enter your credentials, then open the menu at the top left and click Backup database. You can choose to include media files (such as student passports), then save the backup file securely to your hard drive. 21:00
Back up regularly and keep a copy somewhere safe. A recent backup is your only safeguard against data loss.
Restore your database
From the same pre-login menu, click Restore backup, enter your credentials, locate your saved backup file, and restore your system data. 21:25
